Payment Of School Fees

All students are required to pay their fees IN FULL BEFORE OR ON THE DAY OF RE-OPENING at the Ghana Commercial Bank and then send their pay-in slips to the Account Office for receipt of payment. This will enable students to access the school management system for their online registration.

Any student whose account is in arrears and unpaid at the end of the semester shall not be allowed to sit for the end of semester examinations. No new examination questions would be set for a student who pays his / her fees after an examination.

Registration For Courses And Orientation

Freshmen

The college requires all freshmen to report at least a week before the commencement of theacademic year to go through a process of registration online and orientation. Orientation is compulsory for all freshmen and registration takes place concurrently with orientation.

  1. A student who does not register within 7 days from commencement of training will be requested to pay a fine to be determined by the college
  2. A student who fails to register within the first 14 days from commencement of training shall forfeit his / her right to register for the semester.
  3. Registration and orientation date will be on the academic calendar
  4. The duration of both programmes is 6 semesters and this period is calculated from the date of first registration

Continuing Students  

  1. Registration for courses must be done online in person under the guidance and supervision of college authorities
  2. Registration of courses shall begin from the first (1st) week of the semester and close by the end of the second (2nd) week.
  3. All courses being offered in the college/school are compulsory
  4. Registration is subject to full payment of fees.


Attendance of lectures

  1. Students shall attend all lectures, tutorials and/or practical sessions as specified for each course.
  2. Students should be punctual to lectures and should be seated at least five (5) minutes before lecture begins.
  3. Lateness to lectures is strictly prohibited.
  4. All students shall take part in every quiz, test, assignments, patient care study, research work, mid and end of semester examination specified for each course.
  5. The performance of each student shall be assessed and graded at the end of each semester.
  6. Any student who absents himself/herself for a cumulative period of twenty-one (21) working days shall not be permitted to sit for the end of semester examination.
  7. A Cumulative Grade Point Average (CGPA) shall be computed for each student at the end of each academic year.
  8. A student shall maintain a minimum CGPA of 1.5 to proceed to the next level of the academic programme.
  9. A student shall obtain a minimum final CGPA of 1.5 to qualify for the award of a diploma.
  10. A student who is referred in one or two papers with a CGPA of 1.5 or more must be made to write the referred papers but must proceed to the next class, but a student who is referred in three or more papers must repeat the class.
  11. No use of mobile phone during lectures.


Interruption Of Study Programme

A student may break his/her study  programme due to certain circumstances such as ill health or any other genuine reason but may not break for more than four continuous semesters, so that the maximum period allowable for the completion of the programme is not exceeded.

A student who wishes to interrupt his/her study programme must inform the authorities in writing.

A student who interrupts his/her studies for more than four continuous semesters shall be deemed to have lost accumulated credits. Such a student may re-apply for admission into the programme.


Examination

Qualifying to write Examination

A candidate shall qualify to write an Examination if:

  1. He/she has registered and followed the approved course as a regular student and has not absented himself/herself and has more than the equivalent of three (3) weeks contact hours for the course; or 40% attendance in any course.
  2. He/she has continuous assessment mark for relevant subject areas
  3. He/she is not under suspension from the institution
  4. He/she has paid up all examination and any other fees current for the period

Examination Rooms and Seating Arrangements

  1. The examination will take place at approved venues indicated on the time-table. It shall be the duty of the candidate to consult the Time-Table and ascertain the papers to be written
  2. The students should be spaced out adequately in the Examination room.
  3. No unauthorized material or script is allowed into the examination room.
  4. The following constitute gross examination malpractice:
  5. Exchanging examination scripts, question papers, plain papers, or printed materials with a colleague(s) in examination hall.
  6. Any form of communication with colleagues in the examination hall.
  7. Spying on a colleague’s answer script or sheet.
  8. Leaving the examination hall without permission.
  9. Leaving the examination hall with either unused or used answer booklets, sheets or scripts.
  10. No student shall be permitted into the examination hall when he/she is thirty (30) minutes late.
  11. No student shall be allowed to leave the examination hall until after thirty (30) minutes of commencement of the examination.
  12. Any student who is permitted to go out of the examination hall to urinate/vomit/take medication or do any other thing outside the examination hall shall be escorted by a security guard or invigilator.
  13. Cell phones (mobile phones) are strictly not allowed in the examination hall.
  14. Students shall allow themselves to be searched before entering the examination hall. Female tutors are to search female students and males are also to be searched by male tutors.

Procedures During The Examination

  1. Candidates must ensure that they sign the examination attendance sheet. On receipt of answer books, candidate should carefully read the instructions on the front cover of the answer books and enter their index number and other details as required.
  2. No part of the answer book may be torn and all used answer books must be left on the table. Rough work must be done in the answer books and should be crossed out to show that it is not part of the answer.
  3. It shall be the candidate’s responsibility to provide for themselves such materials as pen, pencil, eraser, ruler, calculator for the examination. Borrowing of these materials will not be allowed. Candidates are to ensure that they are given the right question paper and other material(s) needed for the examination.
  4. Under no circumstances should a candidate write his/her name on any part of the answer book provided. Candidates are required to use only their index numbers throughout the examination period. Unless otherwise instructed, candidates are to sit according to their index numbers for all written papers.
  5. There should be no verbal or any other form of communication between candidates during the period of the examination
  6. Candidates would be told by the invigilator(s) when to start answering the questions. Candidates would be allowed reading time to check that the question paper is the correct one, all questions are readable and there are no missing pages.
  7. As soon as the ‘stop work’ order is announced, candidates are to STOP writing. Candidates should remain seated for their answer books to be collected by the invigilator/invigilation assistant before they leave the examination room. Candidates have personal responsibility for ensuring that their answer books are collected by the invigilator/invigilation assistant.


Re-marking

A student who requests for re-marking of script shall follow the following procedure:

  1. He/she shall pay a fee to be determined by the college.
  2. He or she shall address the request for re-marking to the principal through the academic committee.
  3. After remarking the student will be informed of his/her results.
  4. The request shall be made within one month after the publication of the result by the academic board.
  5. The academic committee shall appoint a specialist in that area from within or outside from any other health training institution to remark.

EXPLANATION

Grade point

Each grade is assigned an equivalent grade point as indicated above. The number of grade points earned by a student for each course completed is computed as the product of the number of credits for the course and grade point equivalent letter of the grade obtained in that course.

Cumulative Grade Point Average (CGPA)

The students CGPA is calculated by dividing the total number of grade points obtained up to one specified time, by the total number of credits of all courses for which the student has registered up to that time.

Final grade point average (FGPA)

The FGPA for all courses under consideration calculated up to the end of a student’s academic programme.

Failure to make a CGPA of at least 1.5 at the end of any academic year leads to dismissal from the school.

Clinicals / Fieldwork

  1. Students shall be punctual at all times during clinical / fieldwork.
  2. Students should respect all members of staff of the hospital, clinic or field, patients, patient’s relatives and visitors.
  3. Insolence and insubordination during clinical and fieldwork on the part of the student shall be severely dealt with.
  4. No student shall absent himself / herself from the clinical or fieldwork without permission from the clinical / field supervisor.
  5. Students shall at all times ask permission from the clinical / field supervisors before leaving for any other activity.
  6. Every student shall appear in an approved uniform for clinical / fieldwork/classes.
  7. No mobile phones shall be used during clinical practice.
